Privacy Policy

This policy explains what personal data Reputex Studios collects, why we collect it, who we share it with, and what rights you have over it. It covers this website and the outreach services we deliver for our clients.

Who we are

Reputex Studios is a B2B outbound agency that runs LinkedIn outreach and appointment setting on behalf of client businesses. For the data collected through this website, Reputex Studios is the data controller. For data we process while running campaigns on behalf of a client, that client is the controller and we act as a processor under our agreement with them.

Data we collect through this website

If you complete the enquiry form, we collect the information you type into it:

• First and last name
• Work email address
• Company name
• What you sell and to whom
• Approximate average deal size
• Anything else you choose to write in the message field

We do not ask for, and you should not send us, payment card details, government identification numbers, health information, or any other sensitive category of personal data through this form.

If you book a call through our scheduling link, the booking provider collects your name, email address, and the details you supply when booking.

Why we use it, and our lawful basis

We use enquiry data to respond to you, assess whether our service fits your business, prepare for and hold a call, and keep a record of the conversation. Where required, our lawful basis is legitimate interests — responding to a business enquiry you initiated — or steps taken at your request prior to entering a contract. We do not sell your data, and we do not add enquiry contacts to unrelated marketing lists.

Data we process for clients

When we run campaigns, we process business contact information about prospects, such as name, job title, employer, public LinkedIn profile content, and the content of messages exchanged. This data is processed on the instructions of the client whose campaign it belongs to, is used only to carry out that campaign, and is not shared between clients. If you have received outreach from us and want it to stop, or want your details removed, contact us using the details below and we will action it and pass the request to the relevant client.

Services we rely on

We use a small number of third-party providers, and your data may be processed by them in the course of delivering this site and our services:

• Netlify — website hosting and enquiry form handling
• Calendly — call scheduling
• YouTube — video embeds, served in privacy-enhanced mode
• Google Workspace — our business email
• LinkedIn — the platform on which outreach campaigns run

Each of these providers operates under its own privacy terms. Some are based outside your country, so your data may be transferred internationally. Where that happens we rely on the safeguards those providers have in place, such as standard contractual clauses.

Cookies and tracking

This website does not use advertising cookies and does not run analytics or tracking pixels. Video is embedded through YouTube's privacy-enhanced domain, which does not set tracking cookies unless you press play on a video. If you do play a video, YouTube may then set cookies under its own policy.

How long we keep it

Enquiry submissions are kept for up to 24 months from your last contact with us, so that we have context if you come back to us, after which they are deleted. Data processed for a client campaign is retained for the duration of that engagement and deleted or returned in line with our agreement with that client. If you ask us to delete your data sooner, we will do so unless we are required to keep it for legal or accounting reasons.

Your rights

Depending on where you live, you may have the right to:

• Ask what personal data we hold about you and receive a copy
• Have inaccurate data corrected
• Have your data deleted
• Object to or restrict how we use it
• Withdraw consent where we relied on it
• Complain to your local data protection authority

Security

This site is served over HTTPS. We limit access to enquiry data to the people who need it, and we use reputable providers for hosting and email. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable steps to protect the information you give us.

Children

Our services are sold to businesses. This site is not directed at children and we do not knowingly collect data from anyone under 16.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be highlighted on the homepage.
